Managing team members

Invite, set access levels for, and deactivate the people in your firm.

Your firm's people live on the People & Access page in Settings. From here you invite colleagues, set each person's access level and billing details, and deactivate anyone who leaves — no separate user database to keep in sync.

Before you start

  • Admin or Owner access — the People & Access page needs the 'manage users' permission (admin and above).

Where your people live

Open Settings and choose the 'People & Access' tile (at /app/settings/team). The page lists everyone in your organisation with their access level, job title, billing rate grade, workspace mode, default lead pipeline, status, and when they were last seen. Everything about a person's membership is edited inline from this one table.

One thing this page does not do

There is no 'reset password' action here. MatterFirst signs people in through your firm's secure single sign-on, so passwords, multi-factor, and password resets are handled by that sign-in — not inside MatterFirst. What you control on this page is membership and access: who is in the firm, what they can reach, and whether their account is active.

    Open People & Access

    From the Settings hub, click the 'People & Access' tile, or go straight to /app/settings/team. You'll see the 'Team Members' heading and a table of everyone in your firm.

    Invite a team member

    Click 'Invite Member' (top right) to open the 'Invite Team Member' modal. Enter their email address and pick a role, then 'Send Invitation'. The role list here is Admin, Manager, Staff, or Read-only — Owner is deliberately excluded from invitations. The person you invite appears under 'Pending Invitations' until they accept, so you can always see who hasn't joined yet.

    Set access and billing details inline

    Each row's dropdowns save as you change them. 'Access' sets the person's role (covered in the next lesson). 'Job Title' and 'Rate Grade' feed rate cards, 'Mode' chooses whether they land in matter work, lead intake, or both, and 'Pipeline' sets their default lead pipeline. You cannot change your own access level — that dropdown is disabled on your own row.

    Per-row dropdowns save immediately; your own Access dropdown is locked.

    Deactivate or reactivate a person

    In the Actions column, 'Deactivate' immediately revokes a person's access while preserving all their matters, time entries, and history; the same button becomes 'Activate' to bring them back. Deactivated people still appear on the workload board flagged 'Inactive' so their remaining matters can be reassigned.

    Deactivate removes access instantly but keeps the person's data and history.

Tips & pitfalls

  • There's no password reset inside MatterFirst — logins and password resets are handled by your firm's single sign-on. Point people there (or to whoever manages your IT) for login help.
  • An invited person stays under 'Pending Invitations' until they accept — a handy at-a-glance list of who you're still waiting on.
  • You can't demote or deactivate yourself — those controls are disabled on your own row to stop you locking yourself out.
