Configuring AI features

Two surfaces: the AI Assistant's tools, and Document AI's extraction rules.

Lesson 7 of 7

AI configuration lives in two distinct places, and mixing them up is the usual confusion. Settings › AI configures the AI Assistant's tools and permissions. Document AI, meaning what gets extracted from your uploads, lives on its own page, and the balance that pays for it lives on Billing.

Before you start

  • Admin or Owner access — both AI settings pages need admin-level permissions ('manage org settings' / 'manage document AI settings').

Settings › AI is the AI Assistant, not Document AI

The 'AI Assistant' tile (/app/settings/ai) configures which assistant tools are available, which need human approval, and which roles can use them. It does not hold your AI balance: that belongs on Billing. Don't look here for what a document extraction costs.

Document AI is where extraction rules live

Document AI (/app/settings/ai/documents) is where you set analysis rules and key-term extraction, and it links straight to your AI balance. There is no quality setting to choose: every document is analysed at full quality, including form fields and checkboxes.

    Configure the AI Assistant's tools

    Open /app/settings/ai ('AI Assistant Settings'). Query Tools are read-only. Action Tools modify data and always require human approval. Toggle a tool's 'Enabled' state and use Role Restrictions to limit which access levels may use each tool. This governs the assistant only — not document analysis.

    Set up Document AI extraction

    Open /app/settings/ai/documents ('Document AI'). The 'Analysis Rules' tab controls what AI does with uploaded documents; the 'Key Term Extraction' tab defines the exact values it pulls out for matters. The balance chip at the top links through to Billing. This is the page that decides what gets extracted; what it costs is read on Billing.

    Read what it costs on Billing

    A document costs 60c to open plus 9c a page, at the one full quality. The AI balance section of the Billing page shows what is left, what has been spent, and how to top up. There is nothing to configure here: the two-quality choice no longer exists, so every document gets form field and checkbox extraction as standard.

Tips & pitfalls

  • Settings › AI (/app/settings/ai) is the AI Assistant's tool config: it holds no balance and no pricing.
  • Extraction rules live on Document AI (/app/settings/ai/documents); the balance that pays for them lives on Billing.
  • Document AI analysis is opt-in per upload and spends your AI balance; configuring these pages doesn't make every upload get analysed automatically.
