Your plan and usage

Read your subscription, manage your AI balance and seats, and switch plans on the Billing page.

Lesson 6 of 7

The org-facing home for your subscription and AI usage is the Billing page. It shows your current plan, lets Owners switch plans, and tracks your AI balance, your top-ups, and the seats your firm is using.

Before you start

  • Owner access to change the plan (the 'manage plan' permission is Owner-only); Managers can see day-to-day billing but not switch plans.

Where usage and plan live

Go to Settings › Billing (/app/settings/billing). The page shows your current plan and price, available plans you can switch to, your firm's default hourly rate, a Users and seats panel, and an AI balance section with your live balance in Australian dollars and the top-ups you can buy. This is the org-facing surface: there is no separate 'resource dashboard' for normal firm users.

A note on 'resource dashboards'

A detailed resource-usage dashboard does exist, but it's a system-administrator tool (/admin/resources), not something firm Owners or Admins use. For your firm, plan limits, seats, and AI spend are all read and managed from the Billing page above.

    Open Billing and read your current plan

    Open /app/settings/billing. The 'Current Plan' card shows your plan name, price, and subscription status (including trial expiry if you're on a trial). If you have an active subscription, 'Payment Methods & Invoices' opens the Stripe billing portal.

    Compare and switch plans

    The 'Available Plans' section lists each plan with its included seats and its monthly AI balance, marking your current one and offering 'Switch Plan' on the others. Switching a plan is Owner-only and is completed through a secure Stripe checkout.

    Track your AI balance and top up

    The 'AI balance' section shows what is left in Australian dollars and what spends it: 60c to open a document plus 9c a page, A$2.50 an agent run, A$6.00 for deep research, 15c per document per question for bulk review. Your included balance is spent first and resets each month; a top-up lasts twelve months, pools across the firm, and is only drawn on once the included balance is gone. Top-ups, and automatic top-ups if you turn them on, go through the same secure Stripe checkout.

    Manage seats

    The 'Users and seats' panel shows how many seats your plan includes, how many are in use, and what the next one costs. Suspending a user frees their seat and keeps their record; restoring them takes a seat back, and asks you to confirm when that will add to the bill.

Tips & pitfalls

  • Switching plans is Owner-only (the 'manage plan' permission is level 100); Managers get day-to-day billing but not plan changes.
  • Plan switches and top-ups are completed through a secure Stripe checkout.
  • At a zero balance, uploads still store, index and stay searchable. Only the AI processing is held until you top up.
  • The org-facing 'usage' surface is the Billing page. A full resource-usage dashboard exists only for system administrators at /admin/resources.
