Connecting AI to workflows

Auto-fill matter fields and trigger automations from documents.

Lesson 5 of 5

Extracted values don't just sit in a report — mapped key terms auto-fill the matter, and a document upload can kick off an automation.

Auto-fill from extraction

When a document is analysed and its key terms are mapped, the values are written straight onto the matter: key dates, custom field values and matter contacts. Auto-filled values are tagged with the source "ai_autofill", so you can tell them apart from anything entered by hand.

Document uploads trigger automations

"Document Uploaded" is a real automation trigger. An automation can react to a new file on a matter and create tasks, send notifications, or advance a workflow — the same WHEN / IF / THEN engine used everywhere else, driven by the upload event.

  1. 1

React to a document with an automation

Go to Settings › Automations and start a New Automation. Set the WHEN trigger to "Document Uploaded", then add conditions and actions (create a task, notify someone, advance a step). The rule now fires whenever a document lands on a matter.

  2. 2

Point extracted values at the matter

Auto-fill is driven by the output targets on your Key Term Extraction sets. On a saved set, each mapped value shows a destination chip — → Key Date, → Field Value or → Contact — which is exactly where the extracted value is written when a document is analysed.

Output-target chips show where each extracted value auto-fills on the matter.
  3. 3

    Put it together

The two mechanisms combine: a document is uploaded and analysed, its mapped key terms auto-fill key dates and fields, and a 'Document Uploaded' automation reacts to the same event to move the work forward — filling in the matter and kicking off the next step from a single upload.

Tips & pitfalls

  • Auto-filled values carry the 'ai_autofill' source, so they're distinguishable from manual entries.
  • The 'Document Uploaded' trigger fires on every upload to a matter — scope your conditions so the rule only acts on the documents you care about.
  • Auto-fill only happens for values you've mapped with an output target; unmapped values are extracted but not written to the matter.

Key takeaways

  • Mapped key terms auto-fill key dates, custom fields and matter contacts.
  • 'Document Uploaded' is a real automation trigger.
  • Auto-filled values carry the ai_autofill source.
