Custom extraction rules

Define your own key terms and map them onto matters.

Key Term Extraction sets let you tell the AI exactly which values to pull from a document, and optionally where to write them on the matter.

Before you start

  • Admin access — Document AI settings require the manage-document-AI-settings permission

Where to configure

Go to Settings › Document AI (/app/settings/ai/documents) and open the "Key Term Extraction" tab. This is where your firm's custom terms live.

Mapping to the matter

Each value you add can have an output target — Key date, Custom field, or Contact. When the AI finds that value in an analysed document, it flows straight onto the matter's key dates, a custom field, or a matter contact. Mapping is optional: you can extract a value without writing it anywhere.

    Open the Key Term Extraction tab

    In Settings › Document AI, click the Key Term Extraction tab. You'll see your existing extraction sets and a New Set button. Each set groups the values to pull from a given kind of document.

    Add a value and map it

    Create or edit a set, then add values one at a time in the add-value panel: name the value (e.g. "Settlement Date"), optionally give extraction guidance, and choose an output target — Key date, Custom field, or Contact. Click Add Value, then save the set.

    Let it apply on the next analysis

    Once saved and active, the set applies automatically the next time a matching document is analysed. There's nothing to run per-document — the extraction and any mapping happen as part of the analysis.

Tips & pitfalls

  • Mapping is optional. A value can be extracted purely for reference without being written onto the matter.
  • Output targets are Key date, Custom field, or Contact — pick the one that matches where the value belongs.
  • Configuring Document AI needs admin access; staff without it won't see these settings.
