Sets of key terms let you tell the AI exactly which values to pull from a document, and optionally where to fill them in on the matter.

  • Admin access — Document reading settings are for admins

Where to set them up

Go to Settings › AI settings › Document reading (/app/settings/ai/documents) and find What AI pulls out: "the values it reads from documents, and where they fill in on the matter." This is where your firm's own terms live.

Filling in the matter

Each value you add can auto-fill the matter: a key date, a matter field, or a contact role. When the AI finds that value in a document it reads, it goes straight onto the matter's dates, a field, or the person in that role. Auto-fill is optional: choose "Don't — just show it on the document" to find a value without writing it anywhere.

    Open What AI pulls out

    In Settings › AI settings › Document reading, go to What AI pulls out. You'll see your existing sets and a New Set button. Each set groups the values to pull from a given kind of document.

    Add a value and decide where it goes

    Create or edit a set. It asks three things in order: 1. Scope it (which documents, and what for), 2. Add values, 3. Auto-fill if useful. Name each value (e.g. "Settlement Date"), optionally tell the AI how to find it, and choose where it auto-fills: a key date, a matter field, a contact role, or nowhere. Click Add this value, then Save set.

    Let it apply on the next reading

    Once saved and active, the set applies automatically the next time a matching document is read. There's nothing to run per document — finding the values and filling in the matter happen as part of the reading.

Tips & pitfalls

  • Auto-fill is optional. A value can be found purely for reference without being written onto the matter.
  • Values auto-fill a key date, a matter field, or a contact role — pick the one that matches where the value belongs.
  • Document reading settings need admin access; staff without it won't see them.
