What is conveyancing software, and what should Australian firms look for?

Conveyancing software runs a property matter from instruction to settlement: contract data, key dates, trust money, client communication and lodgement. For Australian practice it needs state trust accounting, PEXA-compatible workflow and onshore data. MatterFirst covers those, and extracts contract details into the matter automatically.

What a conveyancing matter needs, and where MatterFirst handles it
Stage What has to happen In MatterFirst
Instruction Open the file, record the parties, capture the fee agreement Intake form or lead pipeline creates the matter with the client and roles attached
Contract review Read the contract of sale, pull out parties, dates, price and special conditions Document AI extracts contacts, key dates, financial figures and property details into matter fields
Cooling off and finance Diarise the cooling-off expiry and finance date, chase the client before each Key dates populate from the contract; automations send reminders before each deadline
Searches and enquiries Order searches, track what has come back Tasks and checklists per matter type; open API and webhooks to connect a search provider
Trust money Receipt the deposit, reconcile, meet the state's trust rules Trust accounting with receipts, controlled money and disbursements, available as part of the rollout
Client updates Tell the client where things are without a phone call each time Client portal shows progress and outstanding items, included on every plan
Settlement Settle, account to the client, close the file Settlement statement, invoicing and payment in the same matter record

MatterFirst does not lodge to PEXA on your behalf. It manages the matter around lodgement and connects through its open API and webhooks.

Why MatterFirst

What you get when you switch.

From contract to settlement, on rails

  • Contract-to-settlement workflows. Pre-built templates for residential and commercial conveyancing. Customise for your firm's process.
  • Document AI for contracts. Upload a contract of sale. MatterFirst extracts parties, settlement dates, property details, and special conditions automatically.
  • Key date tracking. Critical dates auto-populate from documents. Get automated reminders before cooling-off, finance, and settlement deadlines.

Upload the contract — dates, parties and details file themselves.

Everything around the file, built in

  • Webhook & API ready. Open API and webhook support makes it straightforward to connect MatterFirst to search and lodgement providers as your firm's integrations evolve.
  • Trust accounting available. For firms that need it, manage trust receipts, controlled money, and disbursements as part of your MatterFirst rollout — no separate accounting package.
  • Client portal for buyers & sellers. Clients log in to check progress, upload documents, and see what's needed — no more chasing phone calls.

Trust accounting, integrations and a portal buyers actually use.

What this actually does

MatterFirst Document AI reads a contract of sale and extracts the parties, key dates, financial figures and property details into the matter, so a conveyancer is checking fields rather than typing them.

Full Accuracy extraction adds form fields and checkbox detection for structured conveyancing documents. Run it against your own contracts during a seven-day guided trial and check the output yourself.

100%

of your data and AI processing stays in your chosen AWS region

MatterFirst is a legal practice management platform for Australian law firms, built by NorthCape Technology, covering matters, documents, trust accounting, billing and a client portal, with data hosted in the AWS region the firm chooses.

It suits conveyancing practices from solo through to around twenty seats that want contract data captured automatically and one system rather than several. It is a weaker fit for very large firms with existing bespoke integrations, or for anyone who needs a vendor with a decade of Australian references, since MatterFirst is new.

FAQ

Frequently asked questions

Does MatterFirst include trust accounting?
Trust accounting is available for firms that need ledger, reconciliation, and disbursement workflows as part of their MatterFirst rollout.
What types of documents work best with Document AI?
Contracts of sale, transfer documents, mortgage forms, leases, settlement statements, court documents, letters of engagement, wills, AFSL documents, and any form-based document. Standard tier is best for prose-heavy documents; Full Accuracy tier is best for structured forms and documents with checkboxes.
Which fields can Document AI automatically fill in a matter?
Contacts and their roles (buyer, seller, solicitor, lender), key dates (settlement, review periods, expiry clauses), pricing and financial figures, property details (address, lot/plan number, title reference), and any custom field you've mapped via the Key Term Extractor.
Can MatterFirst connect to search and lodgement providers?
Yes. Open API and webhook support makes it straightforward to connect MatterFirst to search and lodgement providers as your firm's integrations evolve.
Where is my data stored?
In the AWS region your firm chooses. Sydney (ap-southeast-2) is the default for Australian firms. Matter data, documents and Document AI processing all stay in that region: documents are not moved to another region to be OCRed or analysed.
How much does MatterFirst cost?
Pricing is per workspace rather than per seat, starting at $149 per month for Solo. Each plan includes a set number of users, a monthly pool of Document AI credits, the client portal and automations. Extra users are billed only past the included seats. Full plan inclusions are on the pricing page.
Can I get my data out if I leave?
Yes. Your matters, contacts, documents and time records are exportable on request, and there is no lock-in contract. We would rather you were able to leave and chose not to.
Is there a free trial?
Yes, a seven-day guided trial on Solo, Practice or Firm. It is guided rather than self-serve because a practice management system tells you very little until it has your real matters in it, and we would rather help you load them than leave you looking at an empty workspace.
Who builds MatterFirst?
NorthCape Technology, a Melbourne-based software company. MatterFirst is built in Australia for Australian legal practice, which is why trust accounting and Xero are first-class rather than regional add-ons, and why PEXA and InfoTrack are on the roadmap rather than absent from it.
Is MatterFirst suitable for a firm of my size?
It is designed for solo practitioners up to firms of roughly twenty seats. Below that, Solo carries the full platform for one user. Above it, the platform works but you should expect to talk to us about migration and rollout rather than signing up online.
